Privacy Policy

HookLogix ("we," "us," "our") provides dispatch intelligence and earnings-tracking tools for ILWU Local 13 longshoremen. This page explains what information we collect, how we use it, and the choices you have.

Information we collect

When you create a HookLogix account, we collect:

• Account information — username, email address, and password (stored securely, never in plain text)
• Work profile information — rank (casual/ID/A-Book), accumulated hours worked, recent job codes, and registration number, which you provide to enable accurate earnings calculations
• Shift and earnings data — dates, hours, job classifications, and pay information you log or import into your calendar
• Ducket scan images — photos you upload of dispatch dockets, used to automatically extract shift details. Images are stored for 90 days and then automatically deleted; the extracted text data is kept as part of your shift records
• Billing information — if you subscribe to a paid plan, payment is processed directly by Stripe; HookLogix does not store your card number

How we use your information

We use the information above to:

• Calculate your pay accurately, using the correct ILWU-PMA contract rate for each shift's date
• Display dispatch board, allocation, and forecast information
• Process ducket scans using Anthropic's Claude Vision API to extract shift details from your uploaded images
• Send account-related emails (registration confirmation, password resets, billing receipts) via SendGrid
• Process subscription payments via Stripe
• Track referral credits if you refer another member

Third-party services we use

HookLogix relies on the following third-party services to operate. Each has its own privacy practices governing data they process on our behalf:

• Stripe — payment processing for subscriptions
• SendGrid — transactional email delivery (registration, password reset, billing notices)
• Anthropic (Claude Vision API) — processes ducket scan images to extract shift information
• DigitalOcean — hosts our servers and stores ducket scan images
• GoatCounter — privacy-focused, cookie-free website analytics (does not track individuals across sites)

Data retention

Your account and shift data are retained for as long as your account remains active. Ducket scan images are automatically deleted 90 days after upload. Database backups are retained for a rolling 90-day period, plus a permanent weekly archive for disaster-recovery purposes.

Data sharing

We do not sell your personal information. We share information only with the service providers listed above, as needed to operate HookLogix, and only to the extent necessary for them to perform their function.

Your choices

You can update your profile information at any time from your account Settings page. You may request deletion of your account and associated data by contacting us at the email below.

Children's privacy

HookLogix is intended for use by ILWU members, who must be adults. We do not knowingly collect information from anyone under 18.

Changes to this policy

We may update this policy from time to time. If we make material changes, we will update the "Last updated" date at the top of this page.
